Apology Letters and Messages

Apology Letters and Messages

There is bound to be disagreement about our loved ones, friends, colleagues, and families as there is no perfect person. We are not the same in all areas, as a result, one will have those moments when we will offend the other party with our actions or words.

However, it is inhumane not to acknowledge our shortcomings and wrongdoings when those moments happen. It is a good thing to be able to say sorry and apologize for our mistakes.

Importance of Apology Letters and Messages

The following are the reasons why you need to send apology letters or messages to whoever deems to receive them.

Strengthen Relationship

One of the building blocks of any relationship is the ability to be able to own up to our mistakes. So each time you own up to your mistakes, remember you are tightening the bond of your relationship as the other party feels valued and knows you respect their feelings.

Help Clears Misunderstanding

Sending apology letters is tantamount to setting up a truce. It is an opportunity for both parties to settle their differences and talk about what causes the argument. The moment of apology is a calm situation and the resolution of cogent issues leading to the argument is easier to resolve at this moment.

Helps Free the Mind

We know that feeling of guilt and restlessness that troubles us when we hold back our apology all because of ego or other things. It is so disturbing and it is not worth it.

You need to free your mind and own up to the fact that you hurt someone with your actions or words. Taking the step to apologize helps free you from the guilt and other negative feelings that come with keeping malice.

What should be in your Apology letter

When you want to write that apology letter or short message there are some things you need to consider putting in such a letter to make it an ‘apology letter’. An apology letter is not a means to create confrontations, gaslight, dig up unnecessary dirt or put out a defense for your actions.

I will explain what makes a true apology letter, that is, a letter that conveys your gesture to apologize and willingness to bury the hatchet.

A true apology letter must contain:

Acknowledgment of Your mistake and the effect

You must acknowledge your wrongdoings and the result of your actions on the other party irrespective of who the person is. It is the first step to giving a true apology. In addition, it shows that you truly care.

Apology

The “I am Sorry” part, is the part where you say the magical words and appease your wrongdoings.

Bury The Hatchet

This part contains you explaining what you want after the apology and suggestions on how both parties can work together to avoid such occurrences leading to the unfortunate incident. Also, it can be what you decide to do alone to avoid such occurrences.

Acknowledge their opinion

Do not treat an apology letter as a monologue instead treat it as a dialogue that shows you are expecting their feedback and acknowledge their opinion on the matter. In essence, you are not forcing an apology on them and at the same time allowing them to express their feelings.

Furthermore, avoid the following things to not make your apology letter devious.

  • Do not use confrontational tones
  • Refuse the urge to pass blames, it is an apology letter, not a blame game
  • Keep it short, simple
  • Take responsibility for your actions
  • Do not raise any argument in the letter.
  • Avoid words that can aggravate the issue or aggrieve the person. Words such as ” I did not expect you to feel that way”.  “You surprise me with the way you acted” is offensive and not helpful when making apologies.
  • Try not to sweet talk your way through the apology. It shows that you are not sincere with the apology.
